This position is in-office, with flexibility to work from one of our three offices in Strathroy, London, or Guelph.

We are seeking an experienced Estate Administration Law Clerk to join our Wills and Estates Department. This role is ideal for an intermediate to senior‑level clerk who is detail‑oriented, and comfortable managing estate files from start to finish with a high degree of independence.
The successful candidate will work closely with lawyers, support staff, estate trustees, beneficiaries, and financial institutions, playing a key role in the efficient and accurate administration of estates.
Key Responsibilities
- Manage estate administration files from initial intake through final distribution and reporting
- Prepare court applications and related documentation, including Applications for Certificates of Appointment of Estate Trustee, court forms, affidavits, and related materials
- Draft and coordinate correspondence with beneficiaries, estate trustees, financial institutions, other and third parties
- Prepare and organize estate accounts
- Assist with interim and final distributions, including preparation of releases and related documentation
- Track limitation periods, deadlines, and key milestones to ensure timely file progression
- Maintain accurate, well-organized electronic and physical files
- Liaise with court staff, financial institutions, and government bodies as required
- Support lawyers on complex or contentious estate matters
- Provide guidance and informal mentorship to junior clerks, as appropriate
Qualifications & Experience
- Law Clerk diploma from an accredited institution
- Minimum 5+ years of experience in estate administration
- Strong working knowledge of:
- Ontario estate administration procedures and court practices
- Probate processes and estate accounting
- Relevant legislation (e.g., Succession Law Reform Act, Estates Act)
- Experience preparing estate accounts and supporting documentation is essential
- Experience in estate litigation an asset
- Exceptional attention to detail and organizational skills
- Strong written and verbal communication skills
- Ability to manage multiple files and deadlines in a fast‑paced environment
- High level of professionalism, discretion, and confidentiality
Technical Skills
- Proficiency with Microsoft Office (Word, Outlook, Excel)
- Experience with iManage and Estateably is an asset
